What is a portal administration fee?
The New Jersey Information Division of NICUSA, Inc., in partnership with and on behalf of the State of New Jersey, develops, supports, maintains, and enhances eGovernment services under a self-sustaining model using no tax dollars and appropriated funds.
In order to sustain the eGovernment services, the State has established a system of Portal Administration Fees for the portal’s ongoing support and expansion.

This electronic Government service that you are viewing includes non-refundable Portal Administration Fees as outlined on this page in the section titled “What is the cost to search and file UCC documents?”
You will have the opportunity to review all applicable fees prior to finalizing your transaction. At that point, you will have the option to cancel your online transaction.

I need to enter a name that is too long to fit in the text box, what should I do?
Just enter as much of the name as you can into the text box. The individual and organization name fields in the UCC database are fixed in length. Although filers should continue to provide full names on their UCC filings, a name that exceeds the fixed length is entered as presented to the DORES up to the maximum length of the data entry field, which is 100 characters, including spaces. Please do not continue the name in the collateral section. However, you may enter either the rest of the name or entire name in the "Miscellaneous" field which is located in the "More Information" section.

My Debtors/Secured Parties are not displaying on the screen in the order I entered them. How can I fix the order?
Debtors and Secured Parties will display on the screen in the reverse order they are entered. The order on the screen is the same order they will be printed on the paper form. If you would like your Debtors/Secured Parties listed in a particular order, start with the last Debtor/Secured Party and end with the Debtor/Secured Party you would like to display first on your form.

What types of files can I upload for my Collateral/Real Estate file? Is there a size limit?
You can upload PDF or TIFF files for your Collateral or Real Estate. These files must not be password protected as password protected files may cause errors with your filing. Each file can be a maximum of 3MB in size. If your file is larger than 3MB, the system may still upload the file, but the size of the file could cause your UCC Filing to be too large to download and you may be unable to receive your completed filing.

How do I enter both the Collateral description and upload an Attachment?
In order to enter both a description and attach a file for your Collateral, you will need to make 2 separate Collateral Entries into your filing. Add either the description or uploaded file Collateral first, then click the Add Collateral button on the Collateral page to add the other portion of your collateral. You can repeat the Add Collateral step multiple times if you have multiple descriptions or multiple files you need to include for your Collateral.

Who should I enter as the Remitter of my UCC filing?
The remitter is the person filing the financing statement. This information will be displayed on the filing in the top box of the paper form (items A, B and C).

How do I process a UCC-1 with an Assignor?
At this time, the online system does not have the functionality to process UCC-1's with an Assignor. Therefore, it must be submitted by mail, along with the payment. The mailing address is:

I need to make a change to my UCC Filing.
To add, edit or delete a debtor, secured party and/or collateral, you can file an Amendment online. Go to the UCC Home Page at www.njportal.com/UCC and select the link "Amendment (UCC-3)". Enter the filing number to pull up the information and then you can make a change to the debtor, secured party and/or collateral.

Note: If the UCC-1 filing was done today, an amendment cannot be filed until the next business day.

I need to cancel my UCC Filing.
UCC filings cannot be cancelled due to mistakes. You may want to consider filing a UCC-5 Information Statement explaining the issue or file a UCC-3 Amendment to correct the filing. More information on the different types of UCC forms can be found at: https://www.iaca.org/

A status report provides an overview of a filing. The report lists:
Debtor(s) Name and Address
Date Filed
Filing Number
Secured Party(s) Name and Address
Filing History
Images Available for Copy Order (Yes/No)
Number of pages available to order (if available)

How long after filing a UCC will it appear in the UCC Search database online?
The filing will be available the next business day.

What is a Certified Search Certificate?
A Certified Search Certificate provides information on a filing. It contains:
Certificate Number
Debtor (s) Name and Address
Secured Party (s) Name and Address
Filing Number
Filing Date
Maturity Date
Filing History
Seal and Signature of State Treasurer

I can’t find the Debtor I am attempting to search for.
Certified Searches perform an exact name search. To widen your search results, try the Non-Certified Search. The Non-Certified Search allows for a wildcard to be added to the end of the name. That is, if the name being searched on is Smith, results will be returned for both Smith and Smithson in the Non-Certified Search. You can also try searching with fewer letter in the Non-Certified search to get more results.

Can I perform a search using the Secured Party?
No, you cannot search on a secured party name. You can only perform searches on the following criteria in UCC:

Debtor Name can be searched upon for Certified and Non-Certified searches. Your search results for a search on Debtor name can be obtained as a Certified Certificate/Status Report and Certified Certificate with copies/status report with copies. This search criterion cannot be used to obtain copies only.

Filing Number can be searched upon for Certified and Non-Certified searches. You can also use filing number to obtain copies. Filing number cannot be used to obtain a Certified Certificate/Status Report and Certified Certificate with copies/Status Report with copies Date Range can be used to perform searches with the Bulk Data search.

I filed a Termination, but the status of the filing still shows as Active.
The Filing Status (Active/Lapsed) refers to the maturity date of the filing, not to the filing history. Filings will continue to show active until their maturity date has passed. To confirm a filing has been terminated, you will need to order a Status Report or Certified Search Certificate.

When will I receive my UCC documents?
After you have successfully paid for the transaction you will be presented with a confirmation page that provides link(s) to download your purchased document(s). The documents are PDF files and can be saved and printed from your computer. If you do not have a PDF viewer you can download the software at no charge (http://get.adobe.com/reader/)

I forgot to download my documents, can I still retrieve them?
Yes. Your documents are available for 14 days from the purchased date. Upon successful completion of the transaction, users will receive a confirmation email that contains links to the documents. If you do not have the email, then you may call (609) 586-2600 for assistance.

What happens if I decide not to continue filing during the process and close my browser?
All information will be lost. You will need to start over from the beginning. It is strongly recommended that you complete your transaction before closing your browser.

What if my PC crashes during a transaction?
All information will be lost. You will need to start over from the beginning.

How long can I leave my browser and shopping cart open with no activity without losing any information?
For security purposes, after 30 minutes of inactivity all information will be lost.

Can I use my depository account to pay for the UCC's I file or retrieve electronically?
No. You may pay with an electronic check or credit card. However, you may create an online secure account. See the information on Payment Management Services account below.

What is an Electronic Check?
"Electronic check" is the term for using a checking account to make payments on the Internet. A customer will be asked to enter appropriate checking account information to validate the account. The account used must have sufficient funds to cover the transaction cost.

I would like a refund for my UCC Filing/Search.
Uniform Commercial Code documents that are filed in error are not subject to refund. The filer must file either a correction statement or a
UCC-3 amendment and pay the appropriate statutory fee in accordance with New Jersey State Statutes. (N.J.S.A. 12A-9)
UCC Searches are billed at the time of the order. The Certificates and copies are then generated automatically. If you feel you have been incorrectly charged or if specific pages were missing, please fax a letter with the specifics to the UCC Unit at 609-984-6883. Please be sure to include a return daytime telephone number.

Additionally, for the UCC application you will be able to set-up your business and save your payment information securely for use later by yourself and your approved employees.
